System Approvals and Validations

NeedleNine incorporates a robust approval and validation system customizable to your existing policies. Smaller operations may want to keep simple with minimal tracking and reporting while larger Part 141 flight schools utilize complete currency tracking and permissions. This article provides a general overview but detailed information in each area can be found through individual articles.

Approvals are granted for individual Clients, Instructors and Aircraft to ensure compliance with currency requirements and flight school policy.

Client Validations

Clients are approved for individual or groups of aircraft. Without this approval, the dispatch process in inhibited to ensure clients only check out aircraft they are approved to fly. Dispatch overrides may be given by Staff and Instructor users under appropriate circumstances. See Aircraft Approvals for step-by-step process.

In addition, NeedleNine validates a number of other areas during the dispatch process:

  • Certificates – All users must have a pilot certificates on file (including student pilot certificate) to successfully check out aircraft. Certificate expirations date are honored, if entered.
  • Endorsements – Any endorsements created in user profile, including expiration date, is honored during dispatch process. For example, if your operation requires a 3-month currency flight to rent high performance aircraft, an endorsement can be created and updated as necessary to ensure compliance with this policy.
  • Rental Agreement – All users must acknowledge Rental Agreement before system will allow dispatch.
  • Account Balance – Dispatch is inhibited when user account balance is below minimum specified in tenant settings.

Aircraft Validations

Aircraft may be approved for use in specific courses and users. See Aircraft Approvals article for step-by-step directions. In addition, NeedleNine will alert user to aircraft conditions that may affect airworthiness. Aircraft status is checked in real time against both open discrepancies and scheduled maintenance to ensure the dispatch process does not proceed with unairworthy aircraft. Open discrepancies and scheduled maintenance due soon is presented as alert for user awareness but dispatch is allowed.

Instructor Validations

If an instructor is associated with reservation, NeedleNine will also verify the instructor is approved to teach in aircraft and teach in course. See Instructor Approvals for detailed management guide. Certificates, endorsements and documents are also validated and expiration dates (if entered) honored during check out.
