Automatically sync transactions between NeedleNine and QuickBooks Online.
Note: A QuickBooks Administrator account must be used to connect and sync NeedleNine with QuickBooks Online. If the administrative account used for the connection between NeedleNine and QuickBooks is disabled or removed, sync issues may occur.
Connect NeedleNine to QuickBooks Online:
- On the left menu in NeedleNine, select Apps.
- Select Setup on the Intuit QuickBooks app tile.
- Choose the QuickBooks Online option.
- This will open an Intuit login window. Enter the Administrator’s QuickBooks Online credentials.
- NeedleNine and QuickBooks will now sync transactions. Note: Depending on the number of customer and accounting items, the initial sync may take several minutes. Once the initial sync is complete, any changes will occur every two minutes thereafter.
Additional Settings
To ensure data syncs properly between NeedleNine and QuickBooks Online, there are a few settings to verify. In QuickBooks Online:
- Create Custom Field for Instructors on Invoice
- Open QuickBooks Online
- Click on gear icon and select Account and Settings
- Click on Sales and Custom Fields link
- Enter Crew #, Instructor or some label for custom field.
- Click Save
- Enable Classes
- Under Account and Settings, click on Advanced
- Under Categories, select Track Classes
- Save
- Payment Methods
- Click on the gear icon and select All List
- Click on Payment Methods
- Ensure all payment methods are available in QuickBooks. Create any missing payment methods.
- Save
- Sales Tax Configuration and Agency Name
- Navigate to Taxes > Sales Tax
- Configure sales tax for your municipality
- Ensure at least one Sales Tax Agency is listed
- Enable Categories
- Navigate to Sales > Products and services
- Select More button and Manage Categories option
- If no categories exist, create one Sample category. This will allow NeedleNine to begin syncing the required categories (below) automatically.

Yes. The QuickBooks Online Plus plan is the minimum plan supported by NeedleNine.
Our school has been using QuickBooks Desktop to sync with NeedleNine, but are switching to QuickBooks Online. Will this work?
Yes, however our team will need to reset your Intuit QuickBooks connection. Please contact our team at [email protected] prior to disconnecting your QuickBooks Desktop account, so we can discuss the extra steps involved in making this switch.
